What happens to your files

Documents and imagesSupported documents, spreadsheets, slides, and PDFs become searchable passages. Photos and screenshots get descriptions, including the words in them. Processing runs in the background after you upload.
Audio and videoAudio and video files get searchable transcripts, and videos also get chapter summaries. Long audio and video files aren’t transcribed yet.
Tables and MemoryTables hold your team’s current business records, kept up to date by your helper, apps, and workflows. Memory keeps the decisions, preferences, and guidance that you or your helper save, and you can edit every entry.
The source stays in reachOriginals stay intact, and you can open the file behind any result. You and your helper see only what you can access.

How sharing and recovery work

Private until you shareChoose access for files, apps, records, and Memory; shared folders pass on their access.
Shared, with clear rolesMembers edit shared files, tables, and Memory. Apps are used together, and Workflows can be copied. Only their creator changes them. Each person’s helper works with that person’s access. Files and apps can also have a public link, which asks search engines not to index it.
Protected revisionsA file save based on an outdated version is rejected instead of overwriting newer work, and a helper can reread the latest version and reapply its changes.
History and recoveryRestore retained versions of files, apps, and Memory, or recover deleted items from Trash within 30 days.

Workflows

Do it once. Make it a workflow.

When a task goes well, ask your helper to make it a workflow, like a weekly receivables review or a daily pricing watch. It runs on a schedule, once at a set time, or whenever you start it, and your helper refines it from the results.

How workflows run

Read, check, actEach run reads current information and applies rules or AI checks. Then it saves to Drive and Tables, notifies you, posts to a fixed destination like a Slack channel, or gives your helper a task and keeps its result.
Test firstA test run uses real information and shows what the workflow would save or send, without changing anything.
Refine as you goRuns show what each run did, and you’re notified when one fails. Ask your helper to adjust the workflow, or restore an earlier version.
Come back to itAsk your helper to follow up next Tuesday, and a one-time workflow starts a fresh task then.
For code tooA nightly workflow can sort new bug reports and hand the ones worth fixing to your helper, which opens a pull request for your review.
Your permissions still applyEach version is reviewed once when it’s published, with every action it can take, and your helper asks you first when it needs your OK. Runs stay within that review and your permissions. Workflows add and update records but never delete them.

In Auto, a second AI reviews each action with real consequences against what you asked, before it runs. What you asked for goes ahead. Anything you didn’t, such as a new recipient, a purchase, or a permanent deletion, waits for your yes.

When your helper checks with you

Choose your levelSix permissions cover changes to shared work, deletions, wider sharing, publishing, actions in services and websites, and using website logins and API keys. Each starts on Auto. Ask checks with you before each such action, even one you asked for. On allows it, and Off never does. Workspace owners can set stricter limits.
Answer in your own wordsWhen a task needs your OK, it asks you in your conversation with your helper, with a preview of the exact action that opens to what it does, who it reaches, and what it says. Tap an answer, or tell your helper in your own words, and the next check reads it. Stop a task at any time; completed actions remain in effect.
A second checkIt takes only your own words as your OK, never your helper’s or instructions inside an email or web page. Like any review, it can miss things and is no guarantee, so it adds to your judgment rather than replacing it.
Website logins and API keysUsing them follows the level you choose. A login fills in only on the site it was saved for, your helper never sees the password, and screenshots mask the password field. Authorized task code, Workflows and custom tools can use API keys. Programs that receive a key can read and copy it.

What workspace owners control

MembersInvite or deactivate members. Deactivating a member ends their access and hands their shared files, apps, and other shared work to a successor an owner picks. Their private work, tasks, website logins, API keys, and connected accounts aren’t transferred.
Services and limitsChoose which services members can connect, turn internet or GitHub access on or off, and set workspace limits for each kind of action. Members choose their permissions within those limits.
Workspace ActivitySee who acted and what changed, and export it as CSV. Owners see workspace events, with other members’ content details hidden; members see their own.
One shared allowanceMembers draw from one shared usage allowance, and owners see usage by member. Storage has a separate limit.
